Here it is guys....It took me a while, but I mangaed to throw something together.
Starting with the bad news:
I've tried numerous times to get someone at the track to set something up, all to no avail. I'm assuming they are too good for this sort of thing.
I sat down with the marketing director at the Ranch about doing a car show and we put together a little something we feel would not only be a fun event, but a great show as well.
The price, for 50-100 people would be $39.00 per person. If we get more than 100 people to attend, the price drops to $34.00. The ranch requires a non-refundable deposit of $500.00 with the balance in full due a week prior to date of function. Should the weather inhibit the show, the date may be rescheduled. ( details to follow )
I am also working out a deal that if " tickets " can be presold I can work the price down by $5.00 per person, with all those who plan on attending paying the full amount on the day of the event. I know the hardest thing is getting people to pay money up front for something they might be unsure about attending. Think of it this way, it's more than just a show, it's a party!
This includes:
1) Western BBQ buffet, service for 2 hours, including, 2 of the following meats, brisket, chicken or sausage. Cole slaw, Potato salad, ranch beans, relish tray rolls and butter. Unlimitied sodas, cofee, tea and lemonade.
There are other items / menus available. If a sit down meal is not desired, we do have hors D 'oeurves and finger foods as well.
2) price includes room usage, staffing, security, cash bar ( beer, wine, mixed drinks, margaritas, all gratuity ( 15% ) and sales tax ( 6.25% ).
3) I will make a water hose available for anyone who wishes to wash their car prior to the show. Soap, towels, and anything else needed shall be provided by the guest.
4) Wrangler room - This is an area of the corral ( I'll get to this later ) that houses a shuffleboard table, pool table, air hockey, ping pong and foosball table. Usage for 2 hours.
A sample itenerary could go something like this:
11:30 - 1:00pm Guests arrive / car show begins
1:00 pm - 3:00pm - Buffet served
2:00pm - 4:00pm - Wrangler room open for use
3:00pm - 4:00pm - Judging, announcements, awards
4:00pm - event concludes.
The rooms : There is the RCR Corral, a 20,000 sq. ft all weather pavillion with open access ( cars could be parked in it ) a bar, a stage, the wrangler room and of course, the awesome mega-BBQ pit that all the good food gets cooked on.
The Lazy Lilly Riverhouse can seet 150 people inside and an additional 50 outside on the deck. This house overlooks the Cibolo River and waterfall.
Bonus: Holding an event on a Sunday grants access to the entire grounds ( except the Lily, if not in use. )
Addtional time can be purchased, as I said before just about anything is possible here. Numerous activities can be planned, such as live bands, DJ's, dancing, hay rides, longhorn rides, pony rides, softball, rodeo, it's all here!
It would be really cool if I could get someone from this little group of ours to come out to the ranch and meet with me about this. It's a little easier to explain the way things would work if I someone who could actually see the ranch in person.
Well, there it is, guys. because I work for the ranch, I cannot be in charge of this in terms of the club itself, for ethical reasons. Someone should be appointed to rally the finances, act as a contact, visit the ranch and report back to everyone else.
Dates are filling up fast, but as of now there are plenty of spots available. Again, we can organize thiswith other car clubs, the more people who show, the cheaper I can get the price!
